Tips on using propertyroles.com effectively

This section will give you some key pointers on how to get the most out of propertyroles.com

Here we will cover off:

Job Advertising and propertyroles’ Job applicant and Resume management tools

Job Advertising

Using the internet as a form of job advertising is very different to using traditional print media.  There are a number of ways to really make the internet work for you.

With a job advertisement on propertyroles.com you have much more space to communicate with potential candidates.  You can also break your job ad up into Job Title, Job Summary and a more detailed Job Description.  You can also put in your own Job Reference to correspond with any internal referencing.

1, Job Title.

This allows you to first grab the candidate’s attention with a clear statement of what the position is.  The Function category with which you post your job will be almost the same as your Job Title but you may wish to add something extra here to really sell the role.

2, Job Summary.

Here you should give a few lines on the key elements of the role or your requirements as a teaser for the candidate to click through for more information.  In the job search the candidates see the Job Title and Job Summary before they have a choice to click through to the job description; therefore it is very important to ensure both of these sell the role to the candidate to get them to click through to the job description so they can find out more about your role.  Candidates may 'skim' these summaries so include information designed to draw the right candidates in.

3, Job Description.

This section is crucially important for your job advertising success.  Research has shown that when a job advert fully and clearly describes; the benefits of the role (not just financial); the challenges; the opportunities for the successful job seeker and; the employer’s requirements the response rate is far higher.  It is also important however to keep the job description to the point, don’t be too concerned about giving the candidates much information about you and the company, rather focus on the job itself.  Good candidates will either know about your company or at least research answers for any of their questions.

4, Posting Details section.

This section helps propertyroles categorise your job advert so that it is easily searchable by candidates and enables the basic premise of the site; to create a specialised and dedicated property recruitment site.  Choose the Sector that your company works in.  If you are unsure select a Sector you think best describes your company’s work and review the Functions to see if they are appropriate to your company.  If you have any questions don’t hesitate to contact us and ask a question.

5, Functions.

For the Function options you can select up to 3 choices.  This means the one job advert could be for a project manager, senior project manager or a project marketer.  However, more often than not you will find one Function only is exactly what you require.  This is because propertyroles has been designed and built by people with many years experience in property recruitment who are fully aware of the appropriate Sectors, Functions and Asset Classes within our Industry.

6, Salary options.

When considering what to put in for Salary consider this; research has shown that job adverts have a higher response rate when a realistic salary band is provided.  Many employers think that putting a salary band restricts them further down the track.  However, the research has shown that the possibility of this issue is far outweighed by the benefit gained when employers actually put a realistic salary band.  In fact in many online job site surveys candidates will say that sorting job adverts by salary is often the easiest way to work out which ones to look at in more detail or even apply for.  Candidates may also think that employers have something to hide when deciding not to put a salary band on the job advert.

7, Locations.

You can also select up to 3 choices.  So, for example, if the role is in the whole of NSW you can select Sydney and NSW Other.

8, Additional Email address.

You also have the option to have applications sent to a second email address if you and a colleague are both managing the hiring process or if you wish your line manager to also review applications are they come in.

9, Applicant screening questions.

These are also available for those with Premium Job Packs.  These questions, whilst optional, are a brilliant tool to help you ensure basic requirements are covered off in the first instance.  You can also let them system reject the candidates application if their answer is incorrect.  At the least, by using these questions you will be told their score when the application email comes through to you so you can, if you wish, sort applicants by top score to lowest score.

Job applicant and Resume management tools

Propertyroles gives you outstanding functionality to manage the whole recruitment process live and online.  Each Job Pack gives you access to our job applicant and Resume management console, including text notes and updatable status fields, and this enables you to manage your Resume requests, job applications and feedback to the candidates all in the one place.

1, Resume Requests

Here you will be able to track the Resumes you have received, the Resume requests yet to be responded to by candidates and also the requests that have been declined by candidates.  Declined requests could be because the candidates are happy where they are or they see your company name and they don’t want to work there or even, are already working there and don’t want you to know who they are.  All of this can be managed in the Resume Manager menu in your secure Account.

There is also a Resume Alert menu where you can set up an alert email to receive Resumes fitting your criteria the moment they are registered on the site.  Here you can also manage and edit the categories of current Resume alerts.

2, Job Applications

The propertyroles system also collates all applications for each job separately so that you can review all applications together in the one place.  If you have used the Application Screening Questions each applicant’s score is also listed to help you prioritise your review process.  All of these functions can be found in your secure account under the Jobs and Applicants menu.  You can review Current Jobs and Applicants or All Applicants.  If you click on the Current Jobs and Applicants menu you will see your live jobs listed.  You will be able to see how many candidates have seen your job in detail or just the summary, you will be able to see how many applications you have for that job, you will have a link to Edit the job and you also be able to check when it expires.

If you click on the job title it will bring up a list of all the applicants for that particular job.  If you click on each Applicant’s name you will go into more detail about their application and you will have access to their Resume, contact details, status fields and any text notes that you may have created.  Likewise, if you select All Applicants in the Menu the system will list all applicants regardless of the particular job applied for.  To see which job they have applied for, and to see their application in greater detail, just click on their name and the system will navigate you to a more detailed page.

3, Status fields

Candidates need to be kept informed in the application process and using status fields can help you do that.  They are two sets of status fields that you can use and update.  One is seen by the candidates in their secure account and one is only visible to you in your secure account.  Therefore you can choose to let the candidate know that you are “Awaiting-internal feedback” but you can set your status for the candidate’s application to “Looks good-Investigate further”.  There are 20 status field options for both you and for candidates to see, so you should always be able to keep yourself and candidates informed about every application.

4, Text Notes

These are a great tool to keep a running log of each application when you need to put some more personalised information next to each applicant.  The main headers for the text notes are General, Phone Call, Job Application and Interview.  Then there is an open text field for the body of the note for you to create personalised messages that you can refer back to and that colleagues who may also use the propertyroles system can refer to.  These are found, under the heading Notes, in the main body of the candidate’s application information.  These notes are totally confidential and are only kept in your secure propertyroles account.
